SUMMARY:
Staff requests approval of the purchase and installation of upgraded Audio Video equipment from Pro Sound and Video to be purchased with the funds being received from the County related to Coronavirus Relief Funds, since all of the COVID-19 expenditures have been covered by prior year operational budgets. This purchase incorporates material, programming, and labor to upgrade the audiovisual equipment inside the Council Chambers.

Staff has done intensive research to determine the means of procuring a digital upgrade to the audio/visual system that will allow for soft codec meetings such as Zoom, WebEx, Microsoft Teams etc. and provide a more optimal experience for both on site users and virtual attendees. It is staffs determination that the option presented is the one that is most advantageous to the City.

The purchase price for this upgrade is $57,557.59 and reflects a discount off the MSRP per manufacture pricing, per the terms and conditions from the School Board of Broward County ITB FY20-016-2 solicitation.

Per Purchasing Policy, the City may piggyback on active current agreements and contracts from other governmental entities when competitive bid procedures have been followed and the guidelines utilized by that entity are the same or more stringent than the City's guidelines, provided all conditions of the agreement or contract must be met. This agreement meets those standards and both the vendor and the contracting agency approved the piggyback.
