COUNCIL AGENDA ITEM
SUBJECT:
title
Extension of Contracts for Emergency Debris Hauling and Disposal (RFP 21-ES-16)
body
DEPARTMENT:
Public Works & Utilities
SUMMARY:
The City currently maintains contracts for Emergency Debris Hauling and Disposal services under RFP 21-ES-16 to ensure the availability of qualified contractors to assist with debris removal and disposal following a declared emergency or significant storm event.
Public Works & Utilities staff has contacted the three existing contractors to request their agreement to extend the current contracts for an additional six (6) months beyond their scheduled expiration date.
CrowderGulf Joint Venture, Inc. and Phillips Heavy, Inc. where the only two companies to agree to the extension.
The proposed extensions will provide continuity of emergency debris management services while allowing staff sufficient time to prepare, advertise, and complete a new competitive solicitation for Emergency Debris Hauling and Disposal services.
The extensions will be processed in accordance with the City's Purchasing Policies and Procedures and applicable procurement requirements, with the intent of maintaining eligibility for potential reimbursement through the Federal Emergency Management Agency (FEMA) should emergency debris removal services be required during the extension period.
