SUMMARY:
In 2021, seven (7) firms responded to the City’s competitive solicitation entitled Emergency Debris Hauling and Disposal (RFP 21-ES-16). The respondents were ranked according to the selection criteria. City Council accepted Staff’s determination that it is in the best interest of the City to award to the top three (3) firms without any stated order or preference among the firms. These firms are CrowderGulf, D&J Enterprise, Inc., and Phillips & Jordan, Inc.
The initial 3-year period of the contract will expire in November 30, 2024, with two optional 1-year renewal periods. Staff is requesting award of the first renewal period to all 3 firms, beginning December 1, 2024 through November 30, 2025.

Pending declaration of a Major Event (local disaster) impacting the City, a budget amendment would be required.
RECOMMENDED ACTION:
Motion to extend the term of the contracts through the first renewal period of Emergency Debris Hauling and Disposal (RFP 21-ES-16) and authorize the City Manager to execute associated documents for the following firms: CrowderGulf, D&J Enterprise, Inc., and Phillips & Jordan, Inc.
