SUMMARY:
On August 21, 2024, the City of Edgewater issued a Request for Proposals (RFP 24-ES-13) with the sole purpose and intent of obtaining proposals from interested and qualified firms offering to provide Computerized Asset Management System (CAMS)-Computerized Maintenance Management System (CMMS) in accordance with the specifications stated.

This Solicitation was broadcast via the City's E-Procurement Platform, as well as via DemandStar, and the State of Florida DMS, Office of Supplier Diversity site and was posted in City Hall.

On October 2, submittals were received from 7 companies and all were deemed responsive and responsible. On October 16, 2024, the Evaluation Committee met and reviewed the submittals and turned in their evaluation sheets through the E-Procurement Platform (evaluation tabulations and pricing tables for the initial 5-year period are attached). Based on the published evaluation criteria, the firms were ranked as follows:

The Committee discussed the submittals and expressed some concerns regarding long term costs and available budget. The Project Manager asked for the committed to schedule another meeting after he has had time to review cost issues.
The Evaluation Committee reconvened on October 18, at 1:00pm, to determine the next steps moving forward. The consensus was that due to long term funding concerns as well as other factors, it would be in the best interest of the City to recommend that Council withdraw the solicitation until staff has been able to reevaluate its needs and funding capabilities.
